Sacramento Disabilities Advisory Commission (DAC) - Presenters / Meeting Checklist

Pre-Meeting Arrangements

Provide a brief description of your presentation to staff as soon as possible. Please, plan on providing this information to DAC staff (Obi Agha, EO /ADA Office; (916) 808-8426; oagha@cityofsacramento.org), within 10 working days prior to the scheduled meeting. State the purpose you seek in coming before the Commissioners, such as Informational, Recommendation or Approval.

Government Code 54950 (The Brown Act) You are leaving the City of Sacramento requires that a brief description of each item to be transacted or discussed be posted not less than 72 hours prior to the regular meeting. The City posts Agendas at City Hall as well as offsite meeting locations (if necessary).

  1. Presentation materials should be received by staff about 10 working days prior to the scheduled meeting, to allow for review of accessibility requirements for the presentation, and to accommodate requests for alternative formats or other auxiliary aides by the Commissioners. All cost associated with providing "alternate format", including Braille, shall be the Presenter’s responsibility.
  2. Braille needs to be ordered at least 2 weeks prior to the meeting. DAC staff can recommend and facilitate Braille resources and contacts.
  3. Presenter should coordinate needed technology requests for presentations; the room [Closed Council Room – CH1104, New City Hall, 915 I Street – 1st Floor], is fully loaded with a projector, VCR, etc. Generally, Presenters are expected to bring their own laptops and pertinent equipments to the meeting. Coordinate needed Technology requests for presentation with staff who overseas meeting room – CH1104 [Kim Korich (916) 808-7539 or Cell # (916) 825-6082].
  4. All documents for presentation should be made available in a "text" format. Avoid complicated, decorative or cursive fonts. Standard serif or sans-serif fonts, with familiar, easily recognizable characters are best. [Alternative format], such as large print, audio tape, electronic format, and / or Braille maybe requested. Presenter is required to e-mail all documents for presentation several days ahead so that Commissioners who want to read them can do so in their own format and follow along during the meeting.
  5. Generally, presentation should be accessible to people with hearing and vision disabilities by captioning and audio description of important images / graphics / pictorial material(s) that are part of your power point presentation.
  6. During the meeting speak directly to the Commissioners, and use disability-positive language, e.g.; refer to "People with disabilities" rather than "Handicapped person" or refer to a "Person who uses a wheelchair" / "chair user" rather than a "Person who is wheelchair bound".
  7. Generally, use "Disability Etiquette" when interacting with persons with disabilities; also, always identify yourself and others who may be with you when addressing someone with a visual disability. When responding to questions from the Commissioners, remember to identify the person to whom you are speaking.
